Referencing working papers without losing the trail

A well-collected document still fails if nobody can find it under the lead schedule. Referencing is the quiet craft that turns a pile of PDFs into an audit evidence file.

One naming scheme per engagement

Pick a pattern before collection starts: entity code, account reference, document type, and date. Changing schemes mid-year creates duplicates that look like missing items.

Cross-reference both directions

The lead schedule should point to the support. The support filename or cover sheet should point back to the lead schedule. One-way links break when a reviewer starts from the document tray instead of the schedule.

Tick marks with a legend

If your firm uses tick marks for “traced to bank” or “agrees to contract,” print the legend in the pack. Borrowed marks without a key waste review time.

Version control for living schedules

When a reconciliation is updated after a late journal, retire the old file or mark it superseded. Leaving both versions active is a frequent source of review notes.
